Scope of this policy
This policy applies to the RentalOS website, agency workspace, public booking pages, contract-signing pages and related support interactions. An agency may separately control client and booking information entered in its workspace; in that context, the agency is responsible for its own privacy obligations.
Information we collect
We may collect account and profile details, agency and staff information, client and booking records, fleet and location data, contract and signature records, support or demo inquiries, and technical data such as device, browser, IP address and service activity. We collect only information provided to the service or generated through its normal operation.
How we use information
We use information to provide and secure the service, authenticate users, operate agency workflows, process booking requests and contracts, answer inquiries, troubleshoot issues, improve performance and meet legal obligations. We do not sell personal information.
When information is shared
Information may be shared with the agency responsible for a booking or contract, with authorized members of that agency, and with service providers that support hosting, storage, email, security or analytics. We may also disclose information when required by law or to protect users, the service or the public.
Storage, retention and security
We use reasonable technical and organizational safeguards, including access controls and agency-scoped data handling. No online service can guarantee absolute security. We retain information for as long as needed to provide the service, maintain legitimate business records, resolve disputes and comply with applicable law.
Your choices and rights
Depending on applicable law, you may ask to access, correct or delete personal information, or object to certain uses. Agency clients should normally contact the agency that collected their information first. Requests may require identity verification, and some records may need to be retained for legal or contractual reasons.
